a. Maintain executive’s agenda and assist in planning appointment, board meetings, conferences etc.
b. Attend meeting and keep minutes.
c. Receive and screen phone calls and redirect them when appropriate.
d. Handle and prioritize all outgoing or incoming correspondence (e-mail, letters,packages etc)
e. Make travel arrangements for executive.
f. Handle confidential documents ensuring they remain secure.
g. Prepare invoices or financial statements and provide assistance in bookkeeping.
h. Maintain electronic and paper records ensuring information is organized and easily accessible.
i. Conduct research and prepare presentations or reports as assigned.
a. Possess at least a Diploma / Bachelor’s Degree in Secretarial or relative field.
b. Proven experience as executive secretary or personal assistant (PA)
c. Excel in MS Office and “back-office” software (e.g ERP).
d. Good understanding of office management and basic accounting procedures as well as the technical vocabulary of the relevant industry.
e. Experience with basic research methods and reporting techniques.
f. Strong organizational and time-management skills.
g. Excellent communication and negotiation abilities.
h. Integrity and confidentiality.
